Training event settings

Training event parameter settings, including quiz, certificate, scheduling dates, sending invitations, evaluation, etc.

Training event configuration

Name

Enter the name of the training event.

Language

Set the language of the training event. This is used as a criterion when sending invitations or applications to selected groups.

Repetition schedule

Set the desired schedule (validity) for repeating the training event. The schedule can be set in months or days.

Mandatory training events

Training events that require repetition after a specified period.

Theoretical time

Allows entering a fixed value (average time to complete the training event) in minutes. This value is displayed in reports, both at the student and training event levels.

Costs

Allows entering a fixed value in the chosen currency. The value is included in the evaluation, specifically when confirming a student's attendance at the training event, and is displayed in reports, both at the student and training event levels.

Costs can be recorded in two ways:

  • Per user (default setting),

  • Per group.

The method of recording costs (including the entered value) can be adjusted during the evaluation of the training event date.

Credits
Allows entering a fixed value for further use, e.g., when evaluating study results, as a basis for game elements (gamification), etc. The value is displayed in reports, both at the student and training event levels.

Date T1 - Notification (end of validity)
A notice of the approaching end of the validity of a mandatory (repeated) training event.

Date T2 - Reminder (completion deadline)
Reminds of the approaching end of the validity of the training event.

Date T3 - Reminder (completion deadline)
Reminds of the approaching end of the validity of the training event.

Date T4 - Reminder (attendance)
A notice of an approaching date for which the student is registered.

Date T5 - Reminder (attendance)
A notice of an approaching date for which the student is registered.

Date T6 - Acknowledgment
Specifies the date for sending the acknowledgment notification in the format X days after the date.

Date T7 - Automatic invitation
Specifies the date for sending an automatic invitation.

Date Tx - Test unlocking
Specifies the date for unlocking the test in the format X days after it was locked (due to failure to meet the conditions for completing the test).

Date settings

  • Default - uses the default date from Settings - Dates

  • Custom - displays a field for entering a unique value

Evaluation

Option to set parameters for the evaluation of the training event (completion):

  • Attendance - confirmation of attendance is mandatory.

  • Instructor - instructor's confirmation, e.g., for oral examinations, etc.

  • Quiz - settings for mandatory completion of a qualification test (online or face-to-face).

Allow additional notes for evaluation
Enables entering any text during the evaluation (details about the completed training event), which is subsequently displayed in the user details and report.

Certificate
Activation of the certificate.

Category
Assigning the training event to categories. A single training event can be assigned to multiple categories.

Include in the catalog
Allows the training event to be included in the Education catalog for student ordering.

Guarantee
Selected guarantee (instructor) will receive questions regarding the course.

Description
The text is displayed to students in the information panel for the training event.

Note
An internal note for administrators. This note is not visible to students.

Thumbnail
Upload a course thumbnail (image) to be displayed in the information panel for the training event.

Update date
Enter the date of the last update of the training event.

Files

Uploaded files are displayed to the student in the information panel of the training event.

Qualification test

The configuration and management of the qualification test offer two distribution options:

  • Face-to-face - the instructor distributes written tests during the training event, which are then evaluated.

  • Online - the qualification test is created in the LMS EDUNIO and distributed to students online.

Face-to-face test

Enter the score values required to pass the test (minimum required and maximum). Achieved scores can be entered during the evaluation of the training event date.

Online test

The qualification test can be generated from multiple question pools.

Time limit for test completion
Enter the time limit in minutes. All attempts are counted within the limit.

Reset time for each attempt
If you want the time limit to apply only to a specific attempt, check this option.

Required success rate
Enter the required success rate for the test in %.

Maximum number of attempts
Enter the maximum number of attempts allowed to pass the test.

If any of the conditions for passing the test are not met, the test and the respective training event will be locked. The test cannot be taken. More details can be found at this link.

Maximum number of test questions
Use only if the qualification test contains multiple question pools and you want to regulate the total number of generated questions.

Example

You have 5 question pools, each with any number of questions, but you want to generate a total of 5 questions for the qualification test, exactly one from each pool.

At the question pool level, set the generation to one question, and in the option Maximum number of test questions, enter the value 5.

Randomly draw questions
Enable the random selection of questions from the question pools.

Randomly shuffle the order of answers for questions
Enable the random order of answers for individual questions.

Make the test available
Select when you want the test to be available to the student. Options:

  • After the start of the (first)* session

  • After the end of the (final)* session

  • Upon confirmation of attendance

  • Upon confirmation by the instructor

* Applies to group sessions (multiple sessions for a group of students).

Allow viewing of correct answers after test evaluation
This option enables the review of answers for the presented questions after the evaluation.

Import question pool

A question pool can be imported directly using the + Add question pool button in the .TXT format, or by a simple transfer from the instructor's environment.

The format of the .TXT file with questions for direct import is described at this link.

For importing questions, we recommend using the transfer from the Instructor environment!

First, import the prepared questions into the Instructor environment, where you can further make edits, versioning, etc. Then, you can easily send the prepared question pool to the course qualification quiz.

Question Pool Management

Click on the row with the pool or the icon to access the pool settings. Enter the number of questions you want to generate for the quiz.

To display the statistics of individual questions, use the button in the pool overview. The pool can also be exported from the same location in .TXT format.

Certificate

The certificate configuration offers two options for issuing a certificate:

  • Issued by the instructor - The certificate is issued by the instructor; during the evaluation, the certificate can be uploaded to the student's account.

  • Online certificate - The certificate is created in the LMS EDUNIO and distributed to students online.

Issued by the instructor

Online

At the beginning, select the type of certificate, and if you wish to send the certificate to the student via email, check the corresponding option.

The certificate can have any design. The content can be structured using the editor, and to upload a graphic template, use the Background button.

You can include any text on the certificate, and to display values stored in LMS EDUNIO, the following strings can be used:

Notification

For notifications, you can use the default texts or customize the texts for each course.

To edit the text and notification settings, click on the button or the notification row.

If you want to edit the text and notification settings, uncheck the "Default" option.

Additional settings

Creating items that can be used for registering external users (users who do not have an account in the LMS EDUNIO) for a training event.

Schedules

Training events are organized using so-called schedules. An unlimited number of schedules can be assigned to one training event.

Schedules can be either one-time, where a different group of users registers for each schedule, or group-based. Group-based schedules are long-term, consisting of multiple schedules for a specific group of users.

Example of group-based schedules

English every Tuesday at 4:00 PM for project managers.

Schedules can also be external, in which case they refer to training events that are not organized through LMS EDUNIO. External schedules can be recorded retroactively.

Overview of schedules

You can create a new schedule, group, or invitation using the respective buttons.

The checkboxes above the table with schedules allow filtering schedules by status. To view the details of a schedule, click on the icon .

Schedule details

Name

Enter the name of the schedule; it will be displayed to the student after the name of the training event.

English for Beginners - 5.2.

If you use the same name as the training event, only the name of the training event will be displayed to the student.

External Training

Check this option if the training event will be or has been organized outside of EDUNIO. See the separate topic.

Date and Time - From

Enter the date and time of the start of the training event schedule.

Date and Time - To

Enter the date and time of the end of the training event schedule.

Expiration

This value indicates the number of hours before the start of the schedule when it is no longer possible to sign up. It determines the expiration of the invitation.

For example, if you use the value "2", students can sign up for the schedule of the training event up to exactly two hours before the schedule begins.

Webinar (External)

Training events can be organized either face-to-face or online via webinars.

If the schedule being created is organized as a webinar, check this option.

Classroom / URL Address

For face-to-face training events, select a classroom from the inventory where the event will take place. The maximum classroom capacity will be automatically filled into the next field, Capacity.

If you check the option Webinar (External), the Classroom option will be replaced by URL Address.

Enter the URL address where the webinar will take place, e.g., public meetings in applications like Microsoft Teams, Google Meet, Jitsi Meet, etc.

Capacity

Enter the maximum capacity for the schedule. The value is automatically filled in after selecting the classroom. The value can be edited but only to decrease it.

Alternates

Check this option if you want to allow alternates to register after the schedule is fully booked.

If you select the option Allow automatic shift, alternates will be automatically registered for the schedule in the order they were added as alternates, once a spot becomes available (e.g., a previously registered student cancels their registration).

If you want to manage the registration of alternates manually, do not check the option Allow automatic shift.

Automation

This option can be used in two cases:

  1. For students whose mandatory training event is expiring (i.e., they completed it in the past, and it is a training event that needs to be repeated).

  2. For students who ordered the training event from the Education Catalogue.

After checking the option, click on the icon and select the organizational units to which the chosen schedule should be offered.

With this option, you can, for example, set that a schedule held in Brno will only be offered to students from Brno.

If you check the option Invite users after expiration/with upcoming expiration (T1), the schedule will be offered not only to students who have newly become (or will become) eligible to register for the schedule but also to students who are already eligible (those whose schedule for repeating the training event has expired or are within the T1 period).

Example:

The schedule is created on April 15th and takes place on April 25th.

T1 is set to 30 days. This means that students are invited to renew the training event 30 days before its expiration.

After the schedule is created, automatic invitations will be sent to all students whose mandatory training event expires between April 15th and May 15th, as well as to students whose training event validity has already expired.

Instructor

Set the instructor for the specific schedule. You can choose from the following options:

  • Guarantee of the training event

  • Other internal - select from the list of instructors in LMS EDUNIO

  • External - enter the name and email address

Information for users

The text will appear in the registration form for the public - see further details.

Acknowledgement

The notification named Acknowledgement can be used to send a thank-you message or other communication to students after completing the schedule.

To send the notification, check the option Acknowledgement. In the menu, you can modify the default schedule for sending it (the value indicates the number of days after the schedule) as well as the message text.

Public Registration

Students who do not have an account in LMS EDUNIO (e.g., suppliers, partners, etc.) can also be invited to a training event schedule. To activate this option, check the checkbox next to the Public Registration option.

The Custom Item option is used to select items (inputs) that will be displayed in the registration form for the public in addition to mandatory fields (name, surname, email).

To create a URL address for the registration form, save the schedule.

To view the registration screen, reopen the schedule and copy the displayed URL address. Paste it into a browser window (or send it to a supplier, partner, etc.).

External training

The External Training option is used to record (schedules of) training events that will not be or were not organized via LMS EDUNIO.

After selecting this option, fill in the provided fields and create a new schedule. For an external schedule, it is possible to enter a past date and record a training event that has already taken place.

To complete an external schedule (confirm student completion), it is not necessary to send registrations or invitations. Students are assigned to the external schedule during the evaluation on the tab of the same name.

Groups

For the purpose of organizing and tracking long-term training, LMS EDUNIO allows the organization of so-called group training events (type training class).

This type of training event involves a selected group of students participating in multiple schedules.

Example:

English for a selected group of ten employees, every Tuesday at 3:00 PM.

You can create a new group using the New Group button. Enter the group name and the required minimum attendance. If this minimum value is not met, it will not be possible to successfully evaluate (confirm) the student's completion of the training event.

Groups are then managed the same way as one-time schedules. However, when creating a schedule, it is necessary to indicate whether it is a schedule for a specific group and, if applicable, whether it is a final lesson. This designation affects the potential assignment of a qualification test and the overall evaluation of the training event.

The group is assembled from selected students only during registration for the first schedule. For subsequent schedules, students do not register again, as registrations are created automatically after each new schedule is announced.

Signed-in Users

The displayed window provides a preview of the registered students (with the option to unregister a specific student) and the sent invitations.

Using the Add button, it is possible to add (register) additional students to the schedule.

The Occupancy option displays the number of registered students. By clicking the icon , the schedule can be locked. Once locked, no additional students can register for that schedule.

Message to Users

The option Message to Users is used to send any message to registered or invited students.

Copy Schedule

The Copy option creates a new schedule with the parameters of the schedule where the option was used. Adjust the desired values (e.g., date) and confirm the creation of the schedule by clicking the Save button.

Settings

Clicking the Settings option opens the details of the schedule.

Cancel Schedule

Clicking the Cancel Schedule option allows you to cancel the announced schedule. Before canceling, a window will open with the option to send a message to registered students. If you do not wish to send a message, leave the subject and message text blank and click the Send and Delete button.

Invitations and Applications

Students can either be invited to or registered for a training event schedule. An invitation (application) can be sent either by clicking the icon in the row of the training event schedule or via the + Create Invitation button.

Invitation

A student receives an invitation or multiple invitations and registers for the selected schedule independently.

Application

A student is registered for the selected schedule by the administrator. Optionally, it is possible to allow the student to unregister from the schedule themselves.

Additional Options

Schedule
Select the schedule from the list to which you want to send an invitation or application.

Type
Choose between an invitation or an application.

Invite users who
Options to refine the selection of students.

Queue
Optionally, select users from the Queue. The Queue includes users who are required or wish to complete the training event but have not yet been assigned a schedule or have not chosen one.

Users
Select students from the list or individually (via the Select Individual Users option).

Language
Refine the selection of students by choosing a language.

Additional settings
You can mark the training event as mandatory. Mandatory training events are those with a set period (validity duration) that students must repeat after the validity expires.

Notifications
Choose whether to send a notification via email. Enter a default text for the invitation or application. The text can be freely modified.

Actions
The Actions tab is used to perform relevant actions with the selected user accounts.

Select the desired action:

  • Add (the student) to the queue

  • Mark (the training event for the student) as mandatory

  • Add (the student) to the queue and set (the training event) as mandatory

  • Remove (the student) from the queue

  • Mark (the training event) as optional

Next, in the Users menu, select the relevant organizational unit or specific users (via the Select Individual Users option), choose the language, and execute the selected action by clicking the Save button.

An environment for evaluating completed training events.

In the first step, select a schedule or group.

Allow schedule change
This option allows editing the schedule date at the student level.

Theoretical time
The default time from the training event details can be modified at the schedule level.

Costs
The default amount from the training event details can be modified at the schedule level. It is also possible to change the system for calculating the amount.

The default configuration calculates the amount per user (student). The configuration can be changed to distribute the amount among all students (option Per Training Event).

Example A:

Signed-in Users

The table displays users who have been properly registered for the schedule. To add more users, you can use the option + Add or + Add from File.

The options for adding users are used both to include students who participated in the training event schedule without being properly registered and for evaluating external schedules.

The + Add option allows you to select users by organizational units or individually by name.

The + Add from File option provides a downloadable CSV file template, into which users can be added and then uploaded (imported) in bulk to the evaluated schedule.

Student Evaluation Table

The display of items in the table is based on the configuration of the training event. The instructor can evaluate the following parameters:

Mandatory
Indicates whether the training event is mandatory. The student will need to repeat it after the expiration of the period (validity).

Attendance
Confirmation of the student's participation in the training event.

Instructor
Confirmation by the instructor, e.g., during oral examinations, etc.

Test
This field is displayed only when a face-to-face test is set. The achieved score is entered into the field.

Appendix
The entered value is reflected in the user's details.

Attendance List
An attendance list (e.g., a scanned PDF) can be saved for the schedule.

The option Delete invitations and queue placements for users with a Completed status (in the case of an online test, also after evaluating participation or the instructor).
This option deletes any further invitations to the same training event, including queue placements.

Export
This option displays or exports the attendance list generated by the EDUNIO system into a CSV file.

Confirm the evaluated schedule by pressing the Save button.

Evaluation can be revisited at any time and can be performed gradually.
